A good file lets someone else understand what you decided and why.
01File by decision, not only by format
A PDF folder soon becomes a digital drawer. Organise evidence around the project’s questions: acquisition, occupancy, works, co-ownership, financing and management.
Keep the original document, date and contextual correspondence. A simulation detached from its assumptions becomes hard to interpret.
02Label what is known
Distinguish estimated figures, documented figures and final amounts. Two decimal places do not make an assumption more certain than a rounded number.
When changing a key assumption, keep a dated version. The aim is not indiscriminate archiving but explaining differences.
03A light structure
A useful file must stay easy to maintain. Six coherent sections beat a perfect folder tree no one uses.
- 01 — Acquisition and checks.
- 02 — Financing and insurance.
- 03 — Works and energy.
- 04 — Co-ownership and accounts.
- 05 — Occupancy, lease and management.
- 06 — Decisions, simulations and follow-up.
04Keep the filing alive
Update briefly after each significant event. File new documents, correct outdated assumptions and list outstanding actions.
Respect the confidentiality of occupants’ and partners’ data. Clear filing does not require broad sharing.
Gather the documents before drawing conclusions. These educational materials do not replace a professional’s individual assessment.
